- Billing information (if paid features are added)
Contact Data
- Names, email addresses, phone numbers
- Source and source detail
- Opt-in, opt-out, suppression, and AI opt-out status
- Contact status, metadata, and notes
Communication Data
- SMS and email content, message history, conversation threads
- Delivery status and failed/bounced/undelivered events
- Timestamps, sender/recipient data, and provider event data
Technical Data
- IP address, device type, browser, operating system
- Log files, error reports, usage and API activity, security events
Integration Data
- Provider account identifiers, webhook data, API responses
- Delivery receipts and SMTP/SMS/email provider data
- AI provider responses
AI Data
If AI features are used, this may include prompts, drafts, message context, conversation history submitted for AI processing, AI-generated responses, AI usage logs, and AI opt-out preferences.
3. How We Use Information
We use data to provide OneSimpleInbox; create and manage contacts; send and track messages; display inbox threads; process opt-outs; manage suppressions; track failed/bounced/undelivered messages; operate dashboards; support automation; provide AI-assisted features; troubleshoot errors; secure the platform; prevent abuse; improve the product; provide support; and comply with legal obligations.
4. Customer Data Ownership
Customers own their uploaded contacts, messages, and business data. OneSimpleInbox processes Customer Data only as needed to provide and improve the service, maintain security, troubleshoot issues, prevent abuse, and comply with applicable obligations.
5. We Do Not Sell Contact Lists
OneSimpleInbox does not sell customer contact lists.
6. How We Share Information
OneSimpleInbox may share data with hosting and database providers, SMS providers, email providers, AI providers, analytics and error-monitoring providers, payment processors, contractors/support providers, and legal or regulatory authorities when required.
7. Third-Party Providers
Data sent through integrations may be processed by third-party providers under their own terms and privacy policies. Examples include Twilio or other SMS providers; SendGrid or other email providers; SMTP services; OpenAI; Anthropic/Claude; hosting providers; payment processors; and analytics/error-monitoring tools.
8. AI Processing
When AI features are enabled, selected content may be sent to AI providers to generate drafts, responses, summaries, classifications, or automation support. You should not submit sensitive or regulated information to AI features unless you have proper authorization and understand the risks.
AI features currently are optional and may not be enabled in your environment (NEEDS CONFIRMATION on production status).
9. Cookies and Tracking
OneSimpleInbox may use cookies, local storage, and similar technologies for login sessions, security, preferences, analytics, performance, and product improvement.
10. Data Retention
OneSimpleInbox retains data as long as needed to provide the service, comply with obligations, resolve disputes, enforce agreements, maintain backups, prevent abuse, and operate the platform.
Specific retention period: We retain Customer Data for as long as your account is active and for up to ninety (90) days after account termination or closure, after which it may be permanently deleted. Residual copies may remain in routine backups for a limited additional period before being overwritten. We may retain limited records longer where required to comply with legal obligations, resolve disputes, prevent abuse, or enforce our agreements.
11. Data Security
OneSimpleInbox uses reasonable administrative, technical, and organizational safeguards. However, no platform, database, hosting environment, email provider, SMS provider, AI provider, or internet transmission is 100% secure.
12. User Choices
Depending on current platform functionality, you may be able to update account information; manage, delete, or export contacts; manage opt-outs and suppressions; disable AI features; request account deletion; and contact support.
13. Children’s Privacy
OneSimpleInbox is not intended for children under 13, or the minimum age required by applicable law.
14. International Users
Data may be processed in the United States or other locations where OneSimpleInbox or its providers operate.
15. Legal Requests
OneSimpleInbox may disclose information if required by law, subpoena, court order, or legal process, or to protect rights, safety, security, users, providers, or the platform.
16. Changes to This Privacy Policy
OneSimpleInbox may update this policy. Continued use after changes constitutes acceptance of the updated policy.
